I am comfortable in the back up part , we have scripts that we use in our organizaion and that will solve the purpose.but before doing back up i need to access management server operation system and i cannot do SSH (i am using putty client)

you said for that

how can i create user account ? do u have any document ?
i am guessing that i can create user account using smart dashboard client because i have access for that..
